Position Summary

We are seeking a highly organized, proactive, and high-energy Executive Assistant to the CEO who will serve as the right hand to our founder and President, as well as a key liaison to Vice Presidents and senior leadership. This is a pivotal role that demands sharp intuition, strategic thinking, professionalism, and the ability to manage responsibilities across multiple companies in a fast-paced, entrepreneurial environment.

The Executive Assistant will be responsible for travel coordination, project and event management, communication oversight, calendar optimization, and high-level decision support. You’ll serve as a gatekeeper, scheduler, communicator, and strategic organizer—all while being trusted with the highest levels of discretion and confidentiality.

Key Responsibilities

Executive Support

Act as a strategic gatekeeper and liaison between the CEO and key stakeholders.

Manage and prioritize a complex calendar with board meetings, speaking engagements, site visits, and media appearances.

Prepare, organize, and summarize emails, documents, and meeting agendas.

Screen inbound communications and draft professional responses on behalf of the CEO.

Anticipate needs and resolve potential issues before they arise.


Communication & CRM

Monitor, respond to, and manage digital communications, especially LinkedIn and email.

Maintain and organize contacts in CRM platforms such as GoHighLevel.

Assist with lead triage and ensure timely follow-up with stakeholders.

Interact with clients, vendors, board members, and VIPs with confidence and tact.


Travel & Event Management

Plan and manage complex itineraries for local, national, and occasional international travel.

Coordinate logistics for CEO appearances at speaking engagements, trade shows, and conferences.

Support internal events, including team-building and community outreach activities.


Team Coordination

Serve as a cross-functional bridge between the CEO and TomCo’s senior leadership.

Schedule and organize cross-functional meetings, take notes, and track follow-up actions.

Help streamline workflows and mitigate operational bottlenecks.


Confidential Support

Handle sensitive information with the highest degree of confidentiality.

Provide limited personal support on business-related logistics and scheduling.

Must be able to dress professionally for executive meetings and external engagements.

Qualifications

Required

5+ years supporting C-level executives, ideally in fast-paced, multi-entity organizations.

Superior time management and attention to detail; thrives under tight deadlines.

Proficient in Microsoft Office Suite, Google Workspace, Loomly, GoHighLevel CRM, and AI tools like ChatGPT.

High emotional intelligence; comfortable engaging with VIPs, clients, and board members.

Ability to manage competing priorities with grace and discretion.

Strong written and verbal communication skills.

Reliable transportation and ability to travel occasionally for meetings and events.

References required upon request.


Preferred

Deep familiarity with Tampa Bay’s business and leadership landscape.

Experience supporting executives in construction, real estate, private equity, or hospitality sectors.

Customer service or hospitality background with an instinct for high-touch professionalism.

Strong recall for names, numbers, and timelines.

Tech-savvy and adaptable; curious about learning new systems.

Positive, fast-moving, Type A personality with a service-first mindset.
